Making Billing Decisions

While creating an invoice for your client, you can use the Billing Decisions page to:

  • Override the bill-through date.
  • Create progress bills and apply progress.
  • Select the WIP items to include on the invoice.
  • Change the invoice descriptions or internal notes for individual WIP items.
  • Override the sales tax.

For your convenience, the current AR balance for the client displays in the upper right corner of the Billing Decisions window. Negative AR balances display in parentheses.

To make billing decisions for a client, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Bill WIP under Billing & Invoicing.
  2. Select the Clients, Client Billing Groups, or Projects tab.
  3. Locate the record you want in the grid and select Actions > Bill.

    Note: You can use search or filters to help you locate the records you need. To use search, enter a client’s or client billing group's name or ID in the Search and bill box. Click the client name if you see it, or press Enter. See Using the Billing & Invoicing Filters for information about filters.

  4. Specify your Closedbilling decisions for the invoice

    Note: If you are creating a bill for one client in a billing group, but charging the invoice to the principal, the ID and name of the client whose WIP is shown in the grid displays at the top of the window.

    • Enter a new bill through date. See Setting the Bill Through Date for more information.
    • Manage progress bills. Enter an amount in the Create box to create a progress bill for this client. Enter an amount in the Apply box to apply all or some of the available progress bill amount to this invoice. See Creating a Progress Bill for more information.
    • Override sales tax options. For sales tax to be calculated, the service code must be taxable with a tax rate selected, and the client must be taxable either on their client profile or based on the WIP work location. See Overriding Sales Tax.
    • Select WIP items to bill. Select the check boxes for the WIP items to include in this invoice.

      Tip: You can select an option in the Group by list to group the WIP items by a specific attribute, such as project or service code. You can then select a group of WIP to make billing decisions on.

  5.  Click Bill.
  6.  Verify, and, if needed, adjust the bill amounts. See Adjusting Bill Amounts for more information.
  7.  Click Apply to save your billing decisions.

    Note: The billing decisions are summarized below the WIP grid in the Recap section.

  8. Repeat steps 4-7 as needed.
  9. Click Edit Invoice to move to the Edit Invoice screen or click Save to save your billing decisions without creating an invoice.

Notes:

  • Click Export to Excel to export all records from all pages of the grid. The export honors any filters or sorts you have applied. If you have grouped the list, expand a group to export before clicking Export to Excel.
  • Click Prior Invoices at the bottom of the window to view the last three years of posted invoices for the client being billed. If this client is a member of a client billing group, the principal client’s invoices are displayed. This may help you determine billing decisions based on previous decisions.
